Be sure hotline names on magazine subscriptions represent paid sub-scribers, not just people who have responded to free trials or who have not made their payments yet. This applies whether you're ordering from managers or compilers. For ex-ample, if you're mailing to banks, make sure you don't get addresses for 147 branches of the same bank if all you need to do is reach data processing managers at headquarters.
Experienced letter shop personnel can help you save time by suggesting tasks that can be done at the same time, such as merge/purges and the printing of mail pieces.
An advantage of working with a good letter shop is that its personnel keep up to date on changing potal regulations so you don't necessarily have to. An effective letter shop should have a good relationship with local postal officials and should be able to advise you about size, weight, and quantity requirements for mailing as well as envelope and address configurations. Ask for a plant tour as well and see if the facilities are clean and organized. It's handy to have one near your office to make deliveries easier and to permit you to drop in to check on the progress of jobs.
Some letter shops specialize in small business and may offer you services such as printing personalized computer letters. When investigating local letter shops ask how long they have been in business and find out what size mailings they specialize in. See if you can find a shop that is big enough to handle your requirements, but small enough so that you are not considered insignificant.
The best way to decide is to contact several letter shops, obtain their prices, then compare that with the costs and time you would spend if you did it your-self. Letter shops come in such a variety of sizes that no matter how small your mailings, you can probably find someone to help you. Look in your local Yellow Pages under "Advertising Direct Mail." Saving the time it takes to assemble and mail letters, brochures, envelopes, and other inserts is another reason to get help.
Increasingly detailed postal regulations and the potential to gain additional discounts via high density mailings make it increasingly important for you to check out letter shops for all your mail processing. If you compile your own list, or if you buy rather than rent, the most comprehensive and reliable way to update it is to call each company.
Mail addressed by name and title is always preferable, when it's ac-curate, but many business marketers get good results with mail addressed by title only. Directories and compiled lists can become outdated in a couple of months, and sometimes names are just not available, so title addressing is a satisfactory alternative.
In essence, you should balance your time versus the cost of letter shop services.
